Data Entry Requirements

Computer-based ELPAC

The TE-generated scores of the computer-based Initial ELPAC or Summative ELPAC Speaking domain and the Initial ELPAC K–2 Writing domain may be entered directly into the DEI during the administration of the respective domains, or they may be entered on the Student Score Sheet—the back page of the DFA—and then transferred into the DEI after the test administration. If scores are not entered while the student is testing, enter scores immediately after testing and then securely destroy the Student Score Sheets.

Entering Scores, Computer-based Assessments

This subsection describes the general instructions for entering scores in the DEI for the computer-based ELPAC.

  1. Refer to the Logging On to the DEI section of this chapter to log on to the DEI in preparation for entering scores.
  2. On the Available Tests screen, select the [Start Initial ELPAC Grades XX (Domain Name) - Online Data Entry Interface] or [Start Summative ELPAC Grades XX (Domain Name) - Online Data Entry Interface] button (refer to figure 1).

Figure 2. Instructions and Help screen

    1. Select the [View Test Settings] button to review the test settings used by the student in the TDS and assigned in TOMS. Note that these cannot be changed in the DEI.
    2. Select the [View Help Guide] button for an overview of the buttons the user will encounter in the DEI; these are the same buttons and tools that a student encounters in the TDS. The guide is available on all screens by selecting the [Help] question mark [?] button in the top-right corner of any screen.
  4. Select the [Begin Data Entry] button to enter the scores for the domain, or select the [Go Back] button to exit.
  5. The first item for scoring in the DEI will match the same first test question from the student secure browser or the Student Score Sheet (refer to figure 3 and figure 4). Follow the instructions and scripts in the DFA for the grade- and form-specific ELPAC domain while administering the assessment. The TE should refer to the rubrics provided in the DFA for scoring the student’s responses.

  7. After selecting the appropriate radio button for the score, select the [Next] button in the top-left corner of the DEI screen (indicated in figure 5) to continue to the next question. Continue entering scores in the DEI in this manner.
  8. If the student taking the Initial ELPAC Writing domain (K–2) or the Initial ELPAC or Summative ELPAC Speaking domain (any grade level or grade span) had not responded to any questions or answered any questions correctly up to the stopping marker in the domain DFA, the TE may have stopped administering the domain. Note the following about this situation:
    1. For the Speaking domain, the TE should either mark the Speaking Student Score Sheet if the student was unable to continue after the stopping marker and so testing was completed for this domain; or, if scoring directly into the DEI, select the [Submit Test] button at the top of the screen.
    2. When the user entering results submits the assessment, the Attention message box (figure 6) will appear to advise the user that they are ending the assessment and to select the [Yes] button (refer to figure 6 to end the assessment; no more score entry is necessary at this point. Otherwise, select [Next] to continue entering scores.

  10. After selecting [Next], the Data Entry Summary screen will show any questions that did not have a score assigned (refer to figure 8). Select a question number with the triangle symbol to go back to that question to assign a score if a score was recorded on the Student Score Sheet. Do not readminister any questions that did not have a score assigned. If all scores have been entered, select the [Submit Test] button.

  14. Securely destroy all Speaking Student Score Sheets after scores have been entered in the DEI.

ELPAC PPTs

Only students with documented accessibility needs or schools that require PPT materials because of an emergency should be testing on ELPAC PPT emergency materials. To receive PPT emergency materials, an LEA ELPAC coordinator must complete and submit the CAASPP and ELPAC Special Request for Paper Exams web form. This request must be approved by the CDE prior to the LEA receiving PPT emergency materials.

Initial ELPAC Overview

When the Initial ELPAC PPT emergency form for K–12 students is administered, it is administered on Answer Books. The TE-generated scores of the Initial ELPAC PPT emergency form Speaking and Writing domains must be entered into the DEI immediately after the administration. Speaking scores can be entered during the administration, or they may be marked on the Speaking Student Score Sheet found in each Answer Book and then transferred into the DEI after the administration. Student responses from the Initial ELPAC PPT emergency form Listening and Reading domain sections of the Answer Book should be entered into the DEI as soon as possible following the administration.

Speaking Student Score Sheets and any other secure materials should be securely destroyed at the end of the test administration window. When administering the assessment close to the end of the test administration window, please remember that parents/guardians should be provided with 30 days to request a review of the results before materials are destroyed.

Summative ELPAC Overview

When the Summative ELPAC PPT emergency form for K–12 students is administered, it is administered on Answer Books. The K–2 Answer Books must be returned to ETS for scoring, so there is no data entry required. Refer to the PPT Administration chapter of this manual for more information about returning PPT emergency form materials.

Speaking Student Score Sheets and any other secure materials should be securely destroyed at the end of the test administration window. When administering the assessment close to the end of the test administration window, please remember that parents/guardians should be provided with 30 days to request a review of the results before materials are destroyed.
